Engineering a lasting impression.

Vendor and sub-contractor registration

We buy from firms that can hold a programme. Register once and your details reach the procurement desk that buys for every KPC site across 14 states — with the whole ask set out before you fill in a single field.

Before you start

Everything the form asks for, listed before you begin

Registration takes about ten minutes if you have your papers to hand. Nothing is saved until you press submit, so gather these first rather than part-filling the form. Fields marked with an asterisk are required; nothing else is asked of you at this stage.

01

Company information

  • Registered company name, as it appears on your registration certificate
  • GSTIN — 15 characters, exactly as printed on your GST certificate
  • PAN — 10 characters. It must agree with your GSTIN, whose third to twelfth characters are the PAN
  • Years in operation, as a whole number

02

Capability

  • The category of works or supply you are registering for — one from our list, or Other
  • Average annual turnover across the last three financial years, as a band
  • Reference orders, one per line: client, project, order value and year — up to 800 characters
  • A capability statement of 100 to 1,500 characters — plant, people, sustained monthly output, the scopes you self-perform, and any accreditations you hold

03

Documents

  • Up to 10 files, attached in one go
  • PDF, JPG or PNG, up to 10 MB each and 40 MB in total
  • Scans or clear phone photographs, so long as every line is legible
  • Nothing password-protected — locked files are rejected before they reach us

04

Contact

  • Name of the person who will handle KPC correspondence
  • A direct email address — your registration reference and every enquiry goes there
  • A phone number: ten digits for an Indian number, or the full international number
  • Authority to declare, on behalf of the company, that what you have given us is true and complete

What to attach, in priority order

PDF, JPG or PNG · 10 MB per file · 10 files · 40 MB in total

Attach these

  • GST registration certificate
  • PAN card
  • Company profile or capability statement

Attach these too, if you have them

  • Certificate of incorporation, partnership deed or firm registration certificate
  • Audited financial statements or ITR acknowledgements for the last two financial years
  • ISO, NABL or BIS certificates, where held
  • Two sample work orders or completion certificates from comparable work

There is one attachment field and it takes several files at once — select them all together rather than submitting the form more than once. If a document is larger than 10 MB, or you have more than 10 to send, submit what you have and email the rest to our procurement desk quoting the registration reference the form gives you. We work across 14 states: register once and your empanelment applies to every KPC site buying that category.

The form

Register as a vendor or sub-contractor

Four steps, about ten minutes. Fields marked with an asterisk are required. Nothing is saved until you submit.

Registration received

Thank you — your registration has been recorded.

Note the reference down if one is shown above — quote it on anything you send us afterwards. Our procurement desk works through new registrations each working day and will come back to you on the email address and phone number you gave us.

  1. Completeness check — we verify your GSTIN and PAN against the documents you attached, and come back to you for anything missing or illegible.
  2. Technical and commercial assessment — the division that buys your category reviews capacity, references and safety record.
  3. Empanelment — approved vendors go on the approved list for the category assessed, and are invited to quote when an enquiry matches.

Step 1 of 4 — Company information

Enter these exactly as they appear on your GST and PAN records. A mismatch between the two is the most common reason a registration is sent back — the third to twelfth characters of a GSTIN are the holder’s PAN, and we check that they agree.

The legal name on your registration certificate, not the trading name, if they differ.

Fifteen characters, as printed on your GST registration certificate.

Ten characters — five letters, four digits, one letter.

Whole years since the business started trading, under this name or an earlier one.

Step 2 of 4 — Capability and track record

What you do, at what scale, and who can vouch for it. Register against the category you can resource today — a narrow, well-evidenced registration is assessed faster than a broad one, and you can add categories later.

Choose the closest fit. If nothing matches, choose Other and describe the scope in your capability statement.

Across the last three financial years, in rupees crore. A band is all we ask at this stage.

Up to 800 characters, one order per line: client, project, order value, year. These are the references we call.

Between 100 and 1,500 characters. Plant you own, technical staff you employ, the monthly output you can sustain, the scopes you self-perform rather than sub-let, and any ISO, NABL or BIS accreditation you hold.

Step 3 of 4 — Documents

Attach up to 10 files in one go. Scans and clear phone photographs are both fine so long as every line is legible. PDF, JPG or PNG, up to 10 MB per file and 40 MB in total. Anything larger, email it to our procurement desk afterwards quoting your registration reference.

Select them all at once — hold Ctrl, or Cmd on a Mac, to pick more than one. In priority order: GST registration certificate · PAN card · company profile · incorporation certificate, partnership deed or firm registration · audited financials or ITR acknowledgements for the last two years · ISO, NABL or BIS certificates · two sample work orders. Maximum 10 files, 10 MB each.

Step 4 of 4 — Contact and declaration

One named person, reachable. Enquiries, drawings and purchase orders all go to this address, so give us a direct line rather than a shared inbox.

Your registration reference and every future enquiry go here.

Ten digits for an Indian number, or the full international number starting with a plus sign.

KPC charges no fee to register, at any stage. If anyone asks you for a payment to be empanelled, they are not acting for KPC — tell us at tenders@kpc.co.

After you submit

What happens next, and who reads it

Registrations are read by our procurement and contracts desk at the corporate office in Hyderabad, with the assessing engineer drawn from the division that buys your category. Nothing sits in an unattended inbox.

  1. 01

    Your reference

    Immediately

A registration reference is issued the moment we accept the form. Where your browser can show it, it appears on the confirmation panel — note it down before you close the page, and quote it on anything you send us afterwards.

  2. 02

    Completeness check

    Within 3 working days

Our procurement and contracts desk verifies your GSTIN and PAN against the documents you attached, and confirms the category you registered against. Anything missing or illegible, we come back to you once, by email, with a list.

  3. 03

    Technical and commercial assessment

Within 10 working days of a complete file

The relevant division — buildings or roads — reviews capacity, plant, technical staff and reference orders alongside our QA/QC and EHS leads. For higher-value categories we may call your references, ask for a rate schedule, or visit your works.

  4. 04

    Empanelment

    On approval

Approved vendors are added to the approved vendor list for the category assessed and are invited to quote when a project enquiry matches. Empanelment holds for two years, then we ask you to re-validate your statutory documents.

Registration is not an order

Empanelment makes you eligible to be invited to quote. It is not a purchase order, a rate agreement or a commitment to buy, and it does not by itself authorise any work on a KPC site.

We never charge to register

There is no fee at any stage of registration or empanelment. If anyone asks you for a payment, a commission or a facilitation charge, they are not acting for KPC. Tell us attenders@kpc.co and we will act on it.

Check who you are contracting with

Purchase orders and work orders are issued only by KPC PROJECTS LIMITED, CIN U45200TS2005PLC180311, GSTIN 36AACCK7073N1Z1. Verify those against any document you receive in our name.

Site conditions

Sub-contractors deploying labour must hold their own EPF and ESI registration and meet BOCW and labour-law obligations. Everyone on site works under our certified occupational health and safety system: induction, PPE and method statements are conditions of entry, not paperwork.
